Strata Management and COVID-19

We have been monitoring the situation with COVID-19, speaking with our Clients and Customers and, reviewing options to continue to provide client service while doing our part to protect our employees and representatives, the public and, our Clients and Customers who work in person with us on a regular basis.  We find ourselves, along with the rest of the planet, in a unique situation and therefore, we are required to create unique solutions while remaining responsive to our Client’s needs. 

First and foremost, Teamwork Property Management will remain open and operational until further notice.  With this said, for the safety of the Clients, customers and, Teamwork staff, we are changing the way we interact while maintaining proper service and social distancing protocols.  The following new procedures and recommended practices will be our starting point and, the situation will remain under review for the foreseeable future.

Council Meetings

Teamwork Representatives typically go from Strata Corporation to Strata Corporation multiple times a week to meet with the Clients and perform their duties.  This places the Representatives and all individuals at locations they are in contact with, at risk.  Therefore, effective immediately until further notice, it will be mandatory for the Teamwork Representative to conduct Council/Committee Meetings using the online meeting software, Zoom.  Zoom allows virtual meetings with the ability for attendees to participate with video or sound via their digital device (PC, laptop, tablet or, smartphone) or a standard phone line.  There will be no cost to our Clients as Teamwork will bear the costs for this service.

This will provide the ability for the Strata Corporation’s business to be conducted in a safe and efficient matter for both the Teamwork Representatives and the individual Council members who may feel at risk meeting together in the same location.  We understand these are new ways to engage in age old practices; however, we request your patience and understanding as we also adapt to the new systems.

General and Information Meetings

For Annual General, Special General or, information meetings, for the safety of all and to limit exposure for the Owners and Residents of the Strata Corporations and, the Teamwork Representative, we recommend postponing meetings where possible.  Where a meeting is required by legal or business deadline, we are recommending the meeting be conducted via proxy with assigned proxy representatives or recording secretaries.  We will be amending our standard proxy forms provided with the AGM/SGM notices, for the purposes of conducting a meeting in this manner.

We understand there are always special circumstances so, we will attempt to be flexible while maintaining safety for all parties.  Please contact your Teamwork Representative if you have further questions.

Teamwork Office Access

To further protect our staff and visitors, the Teamwork office will now be an employee only workplace.  Our Agents and Staff are available via phone and email and we will endeavor to address inquires or make office pick up / drop off arrangements to the best of our ability.  We will continue to provide our after-hours emergency service.  Please feel free to call our office (604) 854-1734 or email admin@teamworkpm.com.

Instructions to our Clients

As per BC Public Health and the BC Centre for Disease Control, please consider increasing the rate of cleaning for your corporations and the following protocols:

-       Owners should be encouraged to pay their Strata Fees by Pre-Authorized Payment (PAP) instead of cash or cheque.  The PAP form can be found on our website www.teamworkpm.com

-       Enterphones, doors, railings, mailboxes, elevator controls, public bathrooms and, any high contact area should be cleaned on a more frequent basis.

-       Any Strata Corporation communal recreation areas or guest facilities should be cleaned more often and, should follow proper health authority protocols.

-       If possible, limit meetings with groups of people and practice social distancing and accommodate the Owners/Residents where possible, in maintaining social distancing protocols.

-       Post highly visible notices advising your Owners/Residents/workers on proper hand washing and hygiene practices and, official information about COVID-19 protocols.

-       Practice proper quarantine protocols.
